How Inventory & Pharmacy Works in Cliniq Flo

A deep dive into every capability — built specifically for Indian clinic workflows.

Step 1

Medicine Stock with Batch & Expiry Tracking

Every medicine in Cliniq Flo is tracked by batch number and expiry date. The system alerts you 60, 30, and 7 days before expiry — giving you time to return stock to suppliers or run targeted patient campaigns to use the medicine before it expires.

FIFO (First In, First Out) dispensing is enforced by default — ensuring older batches are used before newer ones, preventing wastage.

Step 2

Low Stock Reorder Alerts

Set a minimum stock level for each medicine or consumable. When stock falls below that level, Cliniq Flo sends an alert to the designated staff member — via the dashboard, email, or WhatsApp. You can also generate a purchase order directly from the reorder alert screen.

Step 3

Prescription-Linked Dispensing

When a doctor issues a prescription through Cliniq Flo, the pharmacy counter sees it instantly. The pharmacist dispenses the drugs, the stock is reduced automatically, and the items are added to the patient's bill — eliminating manual billing at the pharmacy counter.

Step 4

Consumables & Equipment Tracking

Track surgical consumables, PPE, diagnostic reagents, and medical equipment service schedules alongside medicines — all in the same inventory module. Set service due dates for equipment and receive alerts before calibration or servicing is required.

Key Benefits

Everything Inventory & Pharmacy does for your clinic — at a glance.

Batch & Expiry Management

Track every medicine batch with expiry date, purchase price, and MRP — and receive alerts 60 days before expiry.

FIFO Dispensing Enforcement

The system automatically selects the oldest batch for dispensing — preventing near-expiry medicines from sitting in the back of the shelf.

Auto Low-Stock Alerts

Set reorder levels per medicine — when stock drops below the threshold, an alert is sent immediately to the pharmacist and clinic manager.

Prescription-to-Bill Integration

Medicines dispensed against a prescription are automatically added to the patient's bill — zero manual entry, zero billing gaps.

Supplier Management

Maintain a supplier list with contact details, credit terms, and price lists — and generate purchase orders from the reorder screen.

Profit Margin Reports

See gross profit per medicine category, top-selling items, and slow-moving stock — enabling smarter procurement decisions.

Works for Your Specialty

General Physician with Dispensary

A GP with an in-house dispensary uses Cliniq Flo to link prescriptions directly to dispensing — medicines are billed automatically and stock updates in real time.

Dental Clinic

Dental clinics track anaesthetic cartridges, impression materials, and cement stocks — all with expiry tracking — preventing use of expired materials on patients.

Dermatology

Dermatology clinics track topical medications, peeling agents, and Botox units — high-value items that need precise stock management to prevent both wastage and stockouts.

Nursing Home

Nursing homes with a full pharmacy track IPD floor stock, OT consumables, and the main pharmacy from one centralised inventory module.

Inventory & Pharmacy — Frequently Asked Questions

Can I manage medicines across multiple dispensary counters?

Yes. Cliniq Flo supports multiple dispensary points — for example, a main pharmacy and a nursing floor store. Stock transfers between stores are tracked with a transfer challan.

Does Cliniq Flo support generic substitution at the pharmacy counter?

Yes. When a branded drug is prescribed but the equivalent generic is in stock, the pharmacist can substitute with the doctor's permission and the bill is updated automatically.

How does Cliniq Flo handle drug returns and damaged stock?

You can create return notes for supplier returns and mark damaged stock for write-off. Both transactions are recorded in the stock register and reflected in profit calculations.

Can I import my existing inventory list into Cliniq Flo?

Yes. Import your current stock list via Excel with columns for drug name, batch, expiry, quantity, purchase price, and MRP. The import wizard validates and loads the data in minutes.
